Full Description:
1.Administration
*Responsible for implementing and ensuring team finance tracking documents are in place and kept up to date.
*Responsible for team finance SOPs.
*Provide advice and guidance to the Account Team in all VAT procedures.
*Provide advice and guidance to the Account Team in company foreign currency and exchange rate policies.
*Organise, plan and prioritise own workload to meet objectives and deadlines.
2.Financial Management
*Responsible for maintaining a clear financial overview of team finances across all clients
*Maintenance of team finance documents including PO tracker, Commissions tracker and Job Close tracker where applicable and general overview of team finance documents
*Assist Account Director with maintaining Team Business Plan and ensuring all information is accurate.
*Produce regular financial updates for clients and assist in producing quarterly and annual financial and management reports for the client.
*Assistance with preparation and maintenance of budgets, liaising with the Account Team and Sales and Marketing, where applicable.
*Assist in the preparation and checking of final reconciliation and any queries raised, ensuring closure of all jobs within 6 weeks
*Provide assistance to Credit Control department in chasing outstanding client invoice payments.
*Ensure relevant sign off procedures are followed in absence of Business Director or Account Director on all budgets and final reconciliations.
*Assist Account Director and Financial Controller in training the team about financial procedures on a one to one basis and during formal training sessions on an ongoing basis.
*Responsible for training new starters on financial procedure within the team.
*Responsible for regular financial checking of job status and cashflow for all team.
*Attend client finance update meetings with Account Director/Business Director where appropriate.
*Assist in the setting up of new job cards to ensure that correct financial indicators are selected (e.g VAT code, budget exchange rate, billing currency)
*Attend quarterly financial reviews with Operations Director, Business Director, Account Director and Financial Controller.
3.Working with Financial Controller
*Implementation of all Company financial policies and procedures
*Attend monthly finance review meetings
*Attend finance training sessions organised by the Financial Controller
*Assist the Financial Controller in the training of existing and new staff
