Do you have experience dealing with vulnerable groups or vulnerable people?? We need confident and assertive candidates for a busy and varied role in LS5. You will be dealing with a wide range of residents, some with very poor English and so patience will be essential. It will also be very useful, though by no means essential, if you spoke other languages. You should have a strong background in admin, reception and a professional and personable manner. Job Context
As a direct report to the Line Manager, the receptionist/Administrator manages and undertakes all administrative tasks to ensure the smooth running of the office.
The Receptionist is responsible for being the first port of call for all internal and external visitors/personnel.
Job Purpose
• To ensure all administrative tasks are carried out
• To support and work with the Line Manager and General Administrators, ensuring all operational procedures are adhered to and targets met
Job Responsibilities
General
•Perform all general administrative duties, including –
oWriting letters/memos/reports/other documents
oFaxing.
oPhotocopying
oFiling.
oTelephone.
oMonitor and distribute post received and ensure post is sent daily
oMaintain computer systems
oUse e-mail system
•To be the first point of contact, by phone or in person, for the office. Make sure telephone is answered, queries answered if able to and any messages passed to appropriate person
•To manage the office in the absence of the Line Manager
•To manage the office supplies and equipment
•Ensure keys, cameras and other equipment is secure and signed for “in and out” by the staff that use them
•To provide an efficient and effective service for all internal and external visitors/personnel, this includes:
-Ensuring all visitors MUST be signed in and out, in accordance with Health & Safety and Security rules
Job Requirements
To be
•the first point of contact for all external and internal visitors/personnel either face to face or via telephone;
•be confident and competent to be able to direct calls taking messages as required.
•Fire warden duties for evacuation of the building

•I.T literate e.g. Microsoft Office
•able to find the best financial commercial solutions to queries and job tasks

•able to undertake other responsibilities and activity as required by management
